St. Maurice Boys Scouts — Scout Point System

St. Maurice Boys Scouts ("we," "us," "our") operates the Scout Point System mobile and web app (the "App") to help our troop manage scout attendance, points, rewards, and family communication. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By using the App, you agree to the practices described in this policy. If you do not agree, please do not use the App.

1. Who Uses This App

The App is used by three types of accounts, all created and managed by adults:

• Parents/Guardians — register their own account and add profiles for their own scout(s).
• Leaders — troop volunteers who record attendance, manage rewards, and review point activity.
• Admins — troop administrators who manage accounts and app settings.

Children do not create their own accounts or log in to the App. All information about a scout is entered and managed by their parent/guardian or a troop leader. We do not knowingly collect personal information directly from children.

2. Information We Collect

Account information (parents, leaders, admins)

• Email address
• Display name
• Phone number
• Account role (parent, leader, or admin)
• Password (stored securely by our authentication provider — we never see or store your plaintext password)

Scout (child) information, entered by a parent or leader

• First and last name
• Date of birth
• Grade level
• Shirt size
• Points balance, points history, and attendance rate
• Eligibility status
• Attendance records (which meetings/events a scout attended)
• Behavioral notes/warnings recorded by a leader, and any point deductions tied to them
• Reward redemption requests (which reward was requested, cost in points, and approval status)

Information we do not collect

• We do not run advertising and do not use ad-tracking SDKs.
• We do not use third-party analytics or tracking tools.
• We do not access your device's camera, microphone, contacts, or location.
• We do not collect payment or financial information through the App.

3. How We Use Information

We use the information described above only to operate the troop program, specifically to:

• Create and manage parent, leader, and admin accounts
• Track scout attendance at troop events
• Calculate and display scout point balances and eligibility
• Let leaders record behavioral notes relevant to the troop program
• Let parents request rewards on behalf of their scout, and let leaders approve or complete those requests
• Communicate with account holders about their account or their scout's activity
• Keep the App secure and prevent misuse

We do not sell, rent, or trade any personal information to third parties, and we do not use scout or family information for advertising or marketing purposes.

4. Where Information Is Stored

Account and scout information is stored using Google Firebase (Firebase Authentication and Cloud Firestore), a cloud infrastructure provider. Firebase applies industry-standard security practices, and our App enforces additional access-control rules so that:

• Parents can only see their own scout(s) — not other families' children, attendance, warnings, points history, or reward requests.
• Only troop leaders and admins can view records across the full troop.
• Only admins can change account roles or approval status.

5. Data Retention and Deletion

We retain account and scout information for as long as the account is active and participating in the troop program.

If an admin removes an account from the App, the scout profiles and related records tied to that family are deleted, and the account is deactivated so it can no longer sign in.

If you would like your family's information deleted or corrected sooner, contact us using the information in Section 8, and we will process your request.

6. Your Choices and Rights

• Access and correction: Parents can view and update their own profile and their scout's information directly in the App. Contact us if you need help correcting information you cannot edit yourself.
• Deletion: You may request deletion of your account and your scout's information at any time by contacting us.
• Withdrawal: You may stop using the App at any time. Uninstalling the App does not automatically delete your stored data — please contact us to request deletion.

7. Children's Privacy

The App is designed to be used by parents, guardians, and troop leaders — not directly by children. Information about a scout is entered by their parent/guardian or a troop leader for the purpose of running the troop program, not collected directly from the child. If you believe a child has provided us with personal information directly, please contact us so we can remove it.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in the App or applicable law. We will update the "Effective date" above when changes are made. Continued use of the App after changes take effect means you accept the revised policy.
